YOUfilm Equipment Rental & Service Agreement
This Equipment Rental and Service Agreement (“Agreement”) is entered into between YOUfilm Weddings (“Lessor”)and the Client / Purchaser (“Lessee”).By placing an order, booking a collection, or checking out through www.youfilmweddings.com, Lessee agrees to the terms below.
1. Scope of Services
YOUfilm provides rental equipment and optional editing services for weddings and events.Rental equipment may include, but is not limited to:camcorders35mm film camerasbatteries and chargersLED lightsphone tripodsaccessorieskeepsake basket or packaging materialsEditing services may include:uncut home moviehighlight home movieextended home movie editssocial media edits35mm film developing and scanning
2. Rental Term
The rental period begins when the package is first marked as delivered or delivery is first attempted by the shipping carrier. Equipment is typically shipped to ARRIVE 2-4 days prior to the event date. Unless otherwise agreed in writing, all rented equipment must be returned within 72 hours after the event date using the prepaid return label provided.Additional rental days may be purchased in advance for $12 per day.
3. Payment
Payment is due in full at the time of booking unless otherwise stated.Orders will not ship until payment has been successfully received.All prices are subject to applicable taxes and fees.
4. Client Responsibilities
Lessee agrees to use all equipment responsibly and according to the provided instructions.Lessee is responsible for: safe handling of all rented items protecting equipment from theft, damage, weather, and misuse returning all accessories included in the package, packaging equipment securely for return shipment. Normal cosmetic wear is expected.
5. Delivery and Returns
Lessor will ship equipment to the address provided at checkout. A prepaid return shipping label will be included.Lessee is responsible for dropping off the return package at a USPS location within 72 hours after the event date.Late returns may incur a fee of $25 per day unless previously approved in writing. If equipment is not returned within 7 days after the event date, Lessor reserves the right to charge replacement costs to the payment method on file.
6. Replacement Fees / Damage / Loss
Lessee must notify Lessor immediately if equipment arrives damaged or non-functioning. During the rental period, Lessee is fully responsible for any lost, stolen, missing, or damaged items. Replacement fees include: camcorder: $100 each 35mm film camera: $60 each batteries / chargers: $15 LED lights $15 tripods $15 keepsake basket $35 replacement cost. Lessee authorizes Lessor to charge the payment method on file for any applicable replacement or repair fees.
7. Shipping Delays and Carrier Issues
Lessor is not responsible for delays, failed delivery attempts, lost packages, weather-related delays, or shipping carrier issues outside of Lessor’s control.In the event of a delay or lost package, Lessor will make reasonable efforts to provide replacement equipment if timing allows.Lessor shall not be liable for any losses resulting from shipping delays.
8. Editing and Delivery Timelines
Editing timelines are estimated and may vary based on season, workload, or unforeseen circumstances.Estimated turnaround times:video edits: 2–3 weeks 35mm film developing + scans: up to 1 month. These timelines are estimates and are not guaranteed delivery dates.
9. Creative License
All edited home movies, highlight films, social edits, and 35mm scan selections are created in YOUfilm’s artistic style. Lessor retains full creative control over: pacing, music selection, clip selection, sequencing, overall edit style. Not all clips may be included in edited highlight films. All original footage remains available through the uncut home movie and/or original clip delivery.
10. Footage Disclaimer
YOUfilm does not guarantee the amount, quality, duration, sound clarity, framing, lighting, or coverage of footage captured by guests.Because footage is guest-shot, final results depend entirely on: guest participation, camera usage, lighting conditions, audio environment, battery usage, and/or storage space. Lessor is not responsible for missed moments, missed angles, poor audio, or footage not captured by guests.
11. Limitation of Liability
In the event that Lessor is unable to deliver edited footage due to technical malfunction, file corruption, server issues, or circumstances beyond reasonable control, Lessee’s sole remedy shall be limited to a refund of the amount paid for the affected editing service. Under no circumstances shall Lessor be liable for consequential, incidental, emotional, or special damages.
12. Promotional Use / Model Release
Unless Lessee requests otherwise in writing prior to delivery, Lessee grants Lessor permission to use excerpts of footage, 35mm images, and final edits for:website portfolio, social media marketing, materials, advertising and promotional use
13. Cancellations and Refunds
Cancellations made more than 30 days prior to the event date will receive a full refund. Cancellations made within 30 days of the event date are subject to a 50% cancellation fee. No refunds will be issued once equipment has shipped. Add-on services that have already been completed, including 35mm developing or edits already started, are non-refundable.
14. Age Requirement
Lessee must be 18 years of age or older to rent equipment and enter into this Agreement.
15. Governing Law
This Agreement shall be governed by the laws of the State of California.Any disputes arising under this Agreement shall be resolved in the courts located in Los Angeles County, California.
16. Acceptance
By placing an order through www.youfilmweddings.com, Lessee acknowledges that they have read, understood, and agreed to this Agreement.
